Job Title: Scheduling Coordinator
Location: Hackensack, NJ 07601
Duration: 11 Weeks (06/01/2026 – 08/15/2026)
Shift: Days | 8:30 AM – 5:00 PM
Schedule: 5 days/week, 8 hours/day, 40 hours/week
Schedule Notes: Monday–Friday, 8:30 AM – 5:00 PM. Coordinator to support Heart Failure and Pulmonary Hypertension program, serving patients ranging from their early 20s through older adulthood. The ideal candidate will have a minimum of 2 years of front desk experience within healthcare. Strong data entry skills and comfort managing high call volumes. Prior experience in a healthcare setting required. Familiarity with Epic and/or cardiology is highly preferred.

Required Skills & Experience:
- Two years of related experience
- Effective interpersonal and communication skills
- Ability to learn quickly and adapt in a changing environment
Preferred Skills & Experience:
- 2 years of progressive experience in a medical office
- Proficient in medical terminology and HIPAA guidelines
- Surgical coding knowledge (CPT and ICD-10)
Education:
- High School Diploma/GED
OR - HiSET (High School Equivalency Test)
Job Summary:
- Coordinates all aspects of tests, procedures, and surgeries under the direction and supervision of the Practice Supervisor, Manager, and physician(s).
- Schedules procedures and coordinates appointments in an efficient, prompt, and professional manner.
- Verifies patient demographics, insurance information, benefits, and precertification requirements.
- Coordinates pre-operative, surgical, and post-operative care activities while ensuring required documentation and scheduling requirements are met.
Duties:
- Schedule tests, procedures, surgeries, and physician appointments.
- Verify patient demographics, insurance coverage, benefits, and obtain precertifications.
- Coordinate procedure appointments with physician schedules and adjust schedules as needed.
- Communicate appointment details and surgical preparation instructions to patients.
- Arrange co-surgeons, assistants, and cross-department scheduling as required.
- Ensure completion and distribution of surgical documentation and physician orders.
- Coordinate pre-admission testing, medical clearances, and follow up on results.
- Maintain hospital block time guidelines and coordinate postoperative care.
- Obtain surgical billing information and reconcile surgical charges.
- Track procedures, pending cases, testing results, and pathology reports.
- Provide excellent customer service and assist patients in person and by phone.
- Manage front-desk duties, patient check-in procedures, and follow-up scheduling.
- Screen and route incoming calls or take detailed messages as needed.
- Participate in surgical service meetings and provide cross-coverage when required.
- Adhere to organizational standards, competencies, and policies.
