Job Summary
We are seeking a Scheduling Specialist to coordinate participant appointments and maintain accurate provider/staff scheduling. This role serves as a key point of contact for participants, families, providers, and internal staff, ensuring timely scheduling, rescheduling, appointment confirmations, and documentation. The ideal candidate will have healthcare scheduling experience, strong customer service skills, EMR proficiency, and the ability to work in a fast-paced environment.
Key Responsibilities
- Schedule, coordinate, and manage participant appointments.
- Handle appointment cancellations, rescheduling, and urgent scheduling requests.
- Answer and route incoming calls, emails, and scheduling inquiries.
- Conduct appointment reminder and confirmation calls.
- Maintain accurate provider/team member availability in scheduling systems.
- Update and document scheduling activities in EMR and internal systems.
- Troubleshoot scheduling conflicts and escalate issues when necessary.
- Provide excellent customer service to participants, families, providers, and staff.
- Support continuous improvement of scheduling workflows and processes.
- Ensure compliance with company policies, documentation standards, and confidentiality requirements.
Required Qualifications
- High School Diploma or GED.
- Minimum 1 year of healthcare experience.
- Minimum 1 year of EMR/EHR experience.
- Excellent data entry and computer skills.
- Strong customer service and communication skills.
- Ability to prioritize and multitask in a fast-paced environment.
- Experience handling high-volume phone calls and scheduling.
- Fluent Spanish speaking ability (Required).
Preferred Qualifications
- Experience in a PACE (Program of All-Inclusive Care for the Elderly) environment.
- Medical scheduling, patient access, referral coordination, or call center experience.
