Position Concept
- The Supply Chain Coordinator supports the operational and administrative functions of the supply chain department for the largest natural gas utility in Florida.
- The Coordinator will focus on fleet and facilities management.
- This role ensures efficient coordination of procurement activities, asset tracking, vendor support, and financial processes. The coordinator plays a key role in maintaining data accuracy, supporting reporting needs, and serving as a backup resource across the supply chain team.
Primary Duties And Responsibilities
- Coordinate day-to-day supply chain activities related to fleet and facilities management, including facilities service scheduling, fleet asset tracking, and vendor communication.
- Use multiple systems, including SAP, AVL (Automatic Vehicle Location), and fleet management platforms like Holman/ARI, to oversee and track fleet operations and facilities data.
- Create and process Purchase Requisitions (PRs) in alignment with company policies and operational needs.
- Monitor invoices from submission to payment, ensuring comprehensive documentation, accurate coding, and prompt resolution of any discrepancies.
- Facilitate invoice payment procedures by working collaboratively with finance teams and vendors to guarantee precise and timely payments.
- Maintain organized records of procurement, fleet, and facilities transactions to support audits and compliance requirements.
- Generate and analyze routine and ad hoc reports related to fleet utilization, expenses, facilities operations, and supply chain performance.
- Assist with budget tracking and cost control initiatives for fleet and facilities expenditures.
- Ensure compliance with internal controls, company policies, and regulatory requirements.
- Serve as a backup coordinator for the supply chain department, providing cross-functional support as needed.

- Key External: Suppliers (Holman, AssetWORKS AVL, vehicle dealerships, etc.)
- Qualifications Education
Required: Bachelor’s degree in business, supply chain, or related field
- Experience
Required: 3 years of procurement or supply chain
Preferred: Admin skills with SAP, MS Office, AVL, and fleet management platforms
Knowledge/Skills/Abilities (KSA)

- Strong analytical ability, organizational skills, effective communication, attention to detail, and ERP system familiarity; experience in supply chain, coordination, fleet management, facilities coordination, or administrative operations preferred; experience with purchase requisition creation, invoice tracking, and payment processing; strong organizational and multitasking skills with high diligence; proficiency in Microsoft Office Suite, particularly Excel for reporting and data analysis; effective communication and problem-solving abilities; ability to work effectively in a fast-paced, deadline-driven environment.
Preferred:
- A Demonstrated knowledge of procurement regulations, contractual terms, and enterprise resource planning (ERP) systems such as SAP and Oracle; analytical skills, familiarity with ERP systems, meticulous, organizational and communication skills; basic understanding of procurement regulations, contract terms.

Working Conditions
- Office environment; In office four days, one day remote; meetings in various locations; occasional overtime/weekend/on-call support
