Senior Administrative Coordinator

Position Overview
We are seeking an experienced Senior Administrative Coordinator to support a fast-paced professional services team managing multiple audits, investigations, and client deliverables. This role is critical to keeping projects organized, ensuring deadlines are met, communicating client requests, and supporting a team of professionals including doctors, nurses, managers, and survey staff.
The ideal candidate is highly organized, proactive, and able to independently manage competing priorities with minimal supervision. This individual must be comfortable working in a demanding environment with numerous concurrent projects and tight deadlines.
Key Responsibilities
- Coordinate and track multiple ongoing audits, investigations, and project deliverables.
- Monitor deadlines and ensure survey managers and team members remain on schedule.
- Communicate client requests and updates promptly to internal stakeholders.
- Organize project documentation and maintain tracking systems.
- Follow up with physicians, nurses, managers, and other professionals regarding tasks, deliverables, and deadlines.
- Prepare, draft, and respond to professional business correspondence and emails.
- Assist with scheduling, status tracking, reporting, and administrative support functions.
- Take ownership of assigned responsibilities and proactively identify and resolve issues.
- Prioritize competing deadlines while maintaining accuracy and attention to detail.
Required Qualifications
- 5 years of administrative, office management, executive support, or project coordination experience.
- Experience working in a fast-paced, high-volume environment.
- Strong multitasking and organizational abilities.
- Demonstrated ability to manage numerous priorities simultaneously.
- Excellent written and verbal communication skills.
- Professional business writing skills, including proper grammar and email etiquette.
- Ability to work independently with minimal supervision.
- Strong follow-up skills and attention to detail.
- Advanced computer proficiency.
Technical Requirements
- Strong Microsoft Office Suite skills (Word, Excel, Outlook, PowerPoint).
- Experience working with SharePoint.
- Experience with Smartsheet preferred (training can be provided if needed).
- Ability to quickly learn and navigate business systems and technology platforms.
Preferred Qualifications
- Office Manager background.
- Experience supporting healthcare, regulatory, compliance, audit, or investigation teams.
- Experience coordinating large-scale projects involving multiple stakeholders.
- Previous experience supporting professional staff such as physicians, nurses, or executives.
Work Environment
- Fast-paced environment with approximately 25–30 active audits/investigations being managed concurrently.
- High level of interaction with internal teams and client stakeholders.
- Requires strong initiative, accountability, and ownership of work.
