Job Title: Administrative Assistant
Location: NYC, NY
Duration: 2 months Contract
Schedule: Monday-Friday 8-4:30pm
Hourly rate: $21/ hour on W2 Negotiable
Duties
- Provide administrative support to individuals, departments, or divisions.
- Serve as a liaison between supervisors and departmental staff by communicating requests, messages, and instructions.
- Assist with budget preparation and monitor expense records for variance reporting.
- Coordinate meetings, office activities, forums, and conferences.
- Draft, edit, and format flyers, letters, brochures, announcements, and other materials.
- Prepare meeting minutes, agendas, correspondence, reports, tables, and other documents.
- Process and follow up on purchase orders, change orders, check requests, petty cash vouchers, and staff reimbursement forms.
- Arrange business travel and accommodations; prepare travel reimbursements and expense reports.
- Screen and prioritize incoming mail and distribute items requiring action.
- Answer and direct telephone calls and respond to routine inquiries.
- Schedule patient appointments, referrals, special testing, and physician visits as needed.
- Maintain employee and/or patient files.
- Assist with payroll processing and PTO tracking.
- Monitor staff professional license expiration dates and notify employees of upcoming renewals.
- Perform other related administrative duties as assigned.
- Skills & Requirements
- 2–3 years of administrative or medical office experience required.
- Intermediate proficiency in Microsoft Office Suite.
