Job Summary:
- Under the direction of the university Registrar, the Registrar’s Office Administrative Assistant will provide support with a variety of student records and registration-related tasks.
- This position requires strong attention to detail, the ability to follow established procedures, and the capacity to work independently.
- The successful candidate will assist with degree audit processing, student records research, registration support, and documentation of findings related to student issues.
Job Responsibilities:
- Process manual degree audits for all Summer 2026 graduation candidates.
- Help with ordering diplomas for all Summer 2026 graduates.
- Assist with registration-related activities and student records maintenance.
- Research student issues within university systems and supporting records.
- Prepare clear, concise, and professional written summaries of student cases and investigations.
- Review and update electronic documents and records as directed.
- Assist with data entry, record verification, and quality assurance activities.
- Support special projects and other administrative functions within the Registrar’s Office.
- Maintain confidentiality of student records and information in accordance with university policies and applicable regulations.
Required Skills & Experience:
- Experience using a Student Information System (SIS).
- Ability to manage multiple assignments simultaneously while maintaining accuracy.
- Ability to analyze information and identify discrepancies in student records.
- Strong problem-solving and critical-thinking skills.
- Commitment to maintaining confidentiality and handling sensitive information appropriately.
- Ability to communicate professionally with faculty, staff, and students.
- Basic proficiency with Adobe Acrobat and PDF document editing.
- Familiarity with navigating and searching university academic catalogs.
- Proficient in Microsoft Excel, including filtering, sorting, and working with spreadsheets.
- Strong written communication skills, including the ability to prepare clear and concise summaries.
- Excellent attention to detail and accuracy.
- Ability to follow detailed written instructions and complete tasks without omitting required steps.
- Strong organizational and time management skills.
- Ability to work independently and meet established deadlines.
Preferred Skills & Experience:
- Experience with PowerCampus, Banner, or Colleague.
