Position Overview:
We are seeking a highly organized and customer-focused Contractor Travel & Relations Coordinator to support a network of 7,000+ independent contractors who provide onsite services for Health & Wellness events.
This role will primarily focus on coordinating and booking contractor travel, including flights, hotels, rental cars, itinerary changes, cancellations, and refunds. The position will also provide operational and administrative support to contractors while partnering closely with internal staffing and event teams.
The ideal candidate is detail-oriented, responsive, comfortable working in a fast-paced environment, and has experience in corporate travel coordination, travel booking, customer service, or contractor/staffing operations.
Key Responsibilities
- Coordinate and book travel accommodations for independent contractors using third-party travel vendor platforms.
- Arrange flights, hotels, rental cars, and other travel accommodations while following established travel guidelines and budget requirements.
- Send detailed travel itineraries and confirmations to contractors via email.
- Manage travel changes, cancellations, refunds, and other booking adjustments.
- Ensure all travel arrangements comply with company policies, including airfare and hotel guidelines.
- Work with corporate travel partners and commercial vendors to resolve travel-related issues.
- Monitor and manage travel expenses in coordination with the Program Management team.
- Maintain accurate records of travel purchases, invoices, and reconciliations.
- Maintain and update master tracking spreadsheets to ensure accurate month-end reconciliation.
- Respond to contractor questions regarding travel, assignments, policies, processes, and portal access.
- Assist with scheduling and assigning contractors to clinic locations based on direction from the Event Specialist team.
- Partner with staffing and event teams on administrative projects and seasonal initiatives.
- Provide timely support for urgent travel issues, including occasional after-hours or weekend escalations.
- Deliver a high level of customer service throughout the contractor travel and assignment process.
Qualifications:
- Bachelor’s degree preferred, or equivalent combination of education and relevant experience.
- 1–3 years of relevant professional experience.
- Previous experience in corporate travel coordination, travel booking, staffing coordination, customer service, or operations preferred.
- Strong written and verbal communication skills with excellent phone etiquette.
- Highly organized with exceptional attention to detail.
- Strong ability to multitask, prioritize, and manage competing deadlines.
- Self-motivated and capable of working independently.
- Comfortable working in a fast-paced, deadline-driven environment.
- Strong team collaboration and interpersonal skills.
- Proficiency with Microsoft Office, particularly Word and Excel.
- Flexible schedule, with occasional opportunities/requirements for weekend work and extended hours.
